Programs Team - Lunch & Learn Meetings

POSITION SUMMARY

The Manager of the Lunch and Learn meetings will take the responsibility of coordinating all aspects of planning, implementing and following up on the meetings.  The quality of venue service to members and proper speaker coordination are important.

 

ORGANIZATIONAL STATUS

·         Reports to Director of programs

·         Has interdependencies with other programs team  members

·         Must be a member in good standing in the CWCC PMI.

 

MAJOR RESPONSIBILITIES

At least 5 business days prior to the event date:

·         Must be available for events scheduled around midday in the downtown area

·         Communicate  with the Director of programs  to discuss the details of the event including speaker requirements, handouts and equipments

·         Communicate with registration to update attendees number and get final list

·         Help prepare and print materials: Name tags ,handouts, attendees list, speaker introduction  and announcements

·         Arrive at the event at least 30 minutes prior to the start:

·         Set up audio-visual equipment

·         Assist with registration (name tags-handouts..)and various administrative duties as directed by the Event Manager

·         Be present for the entire duration of the event to ensure adherence to ALL of the guidelines

·         Work closely with the members attending events by answering questions and monitoring services provided.

·         Monitoring and seek assistance from venue management when confronted with difficult situations

 

·         Within 5 business days after the event, assist with the creation of a summary report of event-related control, and risk or issues, attendance and members feedback.

 

TIME COMMITMENT

·         4 hours per event

·         2 hours portfolio meeting

·         2 hours pre- event programs work

 

CONSEQUENCE OF ERROR/IMPACT OF DECISIONS

·         Will result in low quality service provided to members and will waste the hard work and efforts of the rest of the team.

 

SUPERVISION RECEIVED

·         VP of programs

·         Director of programs

 

SUPERVISION EXERCISED

·         None

 

QUALIFICATIONS

·         Strong organizational, and communication skills.

·         Energetic, enjoys challenges and can handle multi functional tasks in busy environments.

·         Highly motivated team player who is committed to a positive team environment

·         Reliable and committed to the Chapter

·         Committed contribution (in both time and quality)
